Microsoft will disable automated notification emails about expiring Teams meeting recordings. This update means users will no longer receive inbox alerts when their recorded meetings are about to be permanently deleted from the server.
The change is coming across all Microsoft 365 tenants starting June 1. Microsoft said that the decision to make these notifications disabled by default stems from user complaints. Customers apparently believe that receiving alerts about expiring meeting recordings isn’t particularly useful and actually pollutes their inboxes rather than delivering actionable info.
The update also brings a new setting that allows users who still want to receive these notifications to enable them. This will be a per-tenant setting. Microsoft plans to send one more email to administrators before June 1 to notify them when the toggle is live. Those who welcome this change do not have to do anything since the update is automatic. If you miss the deadline, you can still re-enable the alerts later by running a PowerShell command.
Changing how these notifications behave by default will not alter how the deletion process itself works. Your old Teams meetings will still automatically delete themselves right on schedule. Once a recording expires and disappears, it lands in the recycle bin, where it remains recoverable for up to 90 days. The only difference is that now you will not be notified about it unless you choose to opt back in.
With all the enterprise tools at our disposal today, our inboxes are quickly becoming overwhelming. Any option to reduce that mess is generally welcome. Still, there are users who find emails about expiring Teams meeting recordings useful, and Microsoft is making sure it meets the needs of both groups with this update by offering an opt-in switch.
